Privacy Policy

What we collect, why we collect it, and who else touches it.

This policy describes the yokleyes.com website and the work we do for clients. It is written to be read rather than to be survived, in the same plain language as our disclaimer.

Who we are

Yokley Entitlement Services, LLC, a North Carolina limited liability company, at 1322 Champion Drive, Wake Forest, North Carolina 27587. We are the party responsible for the information described here. For anything in this policy, write to Charlie Yokley at hello@yokleyes.com or call 919-395-3099.

The short version

We run one analytics tool on this site, and it is HubSpot. We do not sell your information and we do not share it for anyone else’s advertising. We do rely on a small number of named companies to run the site, the email and the payments, and those companies are listed below by name rather than described as “trusted partners.”

Reading the site

Every page on this site loads tracking code from HubSpot, our customer relationship system. Where you have allowed it, that code records the pages you view, the site or search that sent you here, how many times you have visited, and an approximate city, state, country and time zone worked out from your IP address. It does not know your name.

The part worth saying out loud is what happens later. HubSpot stores that browsing history against an anonymous identifier kept in a cookie in your browser. If you subsequently give us your email address, through a form on this site or by booking a call, that earlier history attaches to you by name from that point on. We can then see which pages you read before you got in touch. Most sites work this way and very few say so.

HubSpot’s code also watches for submissions to any form on the site, including forms we did not build in HubSpot, and copies the email address and other fields into our records. If you type an email address into a form on this site, assume it reaches HubSpot.

There is no Google Analytics on this site, no advertising pixel from Meta or LinkedIn, and no session recording or heatmap tool. HubSpot is the only third-party code on the page, and you can verify that by viewing the source of any page here.

Cookies, and your choice about them

A banner appears the first time you visit, and nothing but strictly necessary cookies is set until you answer it. You can change your answer at any time by clearing this site’s cookies in your browser and reloading the page. If you decline, the site works normally and we lose the analytics.

These are the cookies HubSpot sets, and how long each lasts. The durations are HubSpot’s, not ours.

Getting in touch, and ordering work

Forms on this site ask for different things and are worth separating.

Talking about a parcel. To be useful on a call we ask for a parcel identifier and a short description of what you are considering. That is commercially sensitive, and a parcel number identifies a property and often its owner. We use it to prepare for the conversation and to do the work if you engage us. We do not publish it, we do not pass it to another client, and we do not use it to approach the owner.

Ordering a QuickCheck. A QuickCheck order records the parcel, your contact details and what you asked us to look at, and it produces a report we keep as part of our project record. See below for how long.

The Weather Report and the Library. These are marketing. You are giving us an email address so we can send you something, that is the only reason we hold it for this purpose, and every message carries a one-click unsubscribe that works immediately.

Booking a call. Our scheduling links run on HubSpot Meetings. Booking one records your name, email, anything you type into the booking notes, and the time you chose, and it writes the meeting into our calendar.

Payments

Card payments run through Stripe on a page Stripe hosts. Your card number is entered on Stripe’s page and never reaches this website or our systems, so we could not store it if we wanted to. What comes back to us is the fact of payment, the amount, the date, the billing name and email, and the last four digits of the card. We keep that with the accounting record for the engagement.

Email we send you

We send email through SendGrid, and SendGrid records whether a message was delivered, whether it was opened, and which links were clicked. That is tied to your email address, not to an anonymous count. We use it to tell whether anything we write is worth reading and to stop sending to addresses that bounce. Corporate security scanners open and click every link in a message before it reaches you, so some of what this records was never a person at all.

The companies that handle data for us

We do not sell personal information, we do not rent it, and we do not share it with anyone for their own marketing. We do use these companies to operate, and each of them processes some of this data on our instructions.

We will also hand over information where the law requires it, and we will tell you when we are allowed to.

Public records, and information about other people

Our work is built on public records: agendas, minutes, staff reports, application files, recorded plats, assessor data. Those records name people, including board members, staff, applicants and property owners, and we republish and analyse what they say. We treat that as public information, because it is, and we report it as it stands in the record rather than characterising the people in it.

If you send us a parcel, you are usually sending us information about someone else’s property, and sometimes about your own client. We use it for your engagement and nothing else.

We publish sample work, including a full QuickCheck on this site. Client identifying details are removed from anything we publish, and under our services agreement we do not use a live engagement in marketing until the approval is already a matter of public record or the client has acquired the property, and never for anything the client has designated confidential.

What you can ask us to do

Email hello@yokleyes.com and ask for a copy of what we hold about you, a correction, or deletion. We will answer within thirty days. We will not make you create an account or pay a fee to ask, and we will not treat you differently for having asked.

Deletion has limits we would rather state than discover with you later. We cannot delete a public record, because it is not ours. We cannot delete an accounting record inside the seven years. And a project record for an engagement stays for the three years described above, because it is the file that shows what was submitted and approved.

We are a North Carolina firm working on United States land. If you are in the European Union or the United Kingdom, the banner is how we ask for consent before any analytics cookie is set, and the same requests above apply to you. Ask and we will tell you which of your data we hold and on what basis.

Children

This is a business to business site about land entitlement. It is not aimed at children and we do not knowingly collect information from anyone under 16.

Security, honestly stated

The site runs over HTTPS, access to our systems is limited to the people who need it and protected by multi-factor authentication, and the companies listed above carry their own security commitments. No one can promise a system is impossible to breach, and a policy that promises it is telling you something it cannot know.

Links to other sites

We link to municipal websites, county GIS viewers and agency documents constantly, because that is where the record lives. Those sites have their own privacy practices and we do not control them.

Changes to this policy

If we add a tool that collects something new, this page changes before the tool goes live, and the date below changes with it.
